Why apparently similar quotations can be very different

Two proposals may both describe a wall-mounted system while including very different levels of survey, equipment, visible containment, drainage, electrical work, access, protection, commissioning, warranty administration and making-good.

A low number can result from a genuinely simple project, but it can also rely on untested assumptions. A higher number is not automatically better either. The quotation should explain the design and scope well enough for you to understand the difference.

Survey and design are part of the value

A useful survey records how the rooms are used, heat-load inputs, likely capacity, indoor and outdoor positions, routes, drainage, electrical supply, access and the finish expected. Multi-room work also needs coordinated zoning and outdoor-equipment planning.

Some businesses price design separately; others recover it through the project. Either approach can be reasonable when it is transparent. The important point is that final equipment and installation scope should not be based on a few room dimensions and a photograph alone.

System type changes the investment

A single-split system connects one indoor unit to one outdoor unit. Multi-split designs connect several indoor units to shared outdoor equipment. Ducted systems conceal major components and distribute air through grilles. Larger homes may use a mixed approach.

These routes differ in equipment count, pipework, ceiling requirements, controls, installation time, service access and resilience. The correct comparison is not simply one manufacturer against another; it is the whole architecture against the building and desired finish.

Routes, drainage and electrical work often separate the quotations

Short, direct routes at ground-floor level are usually less complex than long routes through finished rooms, roofs or restricted external areas. Gravity drainage may be straightforward, while pumped drainage adds equipment, wiring, access and maintenance.

Confirm whether the proposal includes a dedicated electrical supply where required, isolation, protective devices, containment, penetrations, fire stopping where applicable, lifting or access equipment and disposal of packaging or old equipment.

  • Ask for visible trunking or pipework locations to be identified.
  • Clarify who completes making-good, decorating or specialist roof work.
  • Confirm whether scaffolding, towers, lifting equipment or parking restrictions are included.
  • Check whether the quotation assumes unrestricted weekday access.

The finish and protection should be priced deliberately

A premium installation is not only the product. It includes how the team protects flooring and furniture, contains dust, communicates changes, aligns visible containment, seals penetrations and leaves the space.

Decorative indoor-unit styles, concealed units, custom grilles, specialist finishes or difficult external positions can increase cost. They should be selected because they improve the result, not added as vague premium upgrades.

Commissioning, warranty and aftercare belong in the comparison

The quotation should state how the system will be pressure tested, evacuated, commissioned and demonstrated; what records are provided; how warranty registration is handled; and what maintenance is recommended.

Also ask what happens if the design changes during installation, a fault appears after handover or future building work affects the system. A clear support route has value even when it is not the cheapest line item.

A quotation comparison checklist

  1. Is the room load or capacity rationale explained?
  2. Are exact indoor and outdoor models listed?
  3. Are unit positions, routes and drainage described?
  4. Are electrical work, access equipment and protection included?
  5. Is making-good responsibility clear?
  6. Are controls, commissioning and handover included?
  7. Are warranty conditions and maintenance expectations stated?
  8. Are exclusions, assumptions, VAT and payment stages unambiguous?
  9. Is the programme realistic for the building and household?
  10. Who owns communication and support after installation?
